We're looking for a Front Desk Receptionist to join the team. Our perfect candidate will thrive in a fun and casual environment, pay it forward daily, and add value to the company by welcoming all visitors to the Corporate Support Center, answering incoming calls, and providing a high level of customer service to each caller. This role also provides mail and shipping services for the Customer Support Center as well as administrative support services for the Human Resources Team. Our hours are 8:30 to 5:00.

WHAT THIS ROLE DOES

  • Receives and directs incoming calls and welcomes visitors with a warm, customer-centric approach; check voicemails on receptionist phone and send messages to appropriate person to respond to callers. Asks visitors to sign in / out and provides them with a Visitor Badge. Contact the person with whom the visitor has an appointment to let them know their appointment has arrived.

  • Responds to associate inquiries and redirects associate if appropriate or researches topics as required.

  • Appropriately redirects calls to Customer Service on an as needed basis while consistently providing a warm, caring approach to customers who call with a customer service issue.

  • Performs all mail center duties, including picking up, opening, and distributing all mail to mailboxes and maintenance of / supplies for Pitney Bowes machine. Notifies recipients of packages received on a daily basis. Maintains mail center including shipping and mail machine supplies updating individual mailboxes as needed. Reloads postage to mail machine as needed.

  • Receive and sign for Certified Mail as needed. Ensure outgoing mail is picked up or dropped off on a regular basis.

  • Forward Family Mail and callers to Family Office.

  • Monitor mail for incoming checks that go to lockbox. Forward garnishment and fee reimbursement checks to Payroll Manager and insurance premium checks to Benefits Manager.

  • Retrieve bi-weekly payroll package and distribute.

  • Opens and closes the shipping software program daily; produces end of day reports and checks reports for accuracy. Reconciles and reclassifies (analyzes and cost codes) weekly UPS bills to proper departments for Accounting. Compares shipping invoices to our shipping records for accuracy. (Follow SOP for UPS reconciliation and cost coding.)

  • Responsible for organizing and executing plans for mailings and shipments to stores and employees as required (with support and assistance from HR team members as needed). (Follow SOP for planning and executing mailing and shipping projects.)

  • Keep shipping and mailing supplies in stock as needed.

  • Monitor all of the copiers in the building and order supplies or service for them as needed from SOS.

  • Update / maintain of the CSC Directory.

  • Manage Café Picture Rotation (add new hires; take down terminated associates)

  • Administrate monthly service award program under direction of Benefits Manager including cost coding provided to Accounts Payable.

  • Performs other projects including, but not limited to:

  • Required mailings related to 401k plan and group insurance

  • Required mailings and shipments to stores

  • Preparation and mailing of annual OSHA reports

  • Make arrangements for TLC Team Meeting food or other special items

  • Manages the ordering and inventory of office supplies for CSC; reconciles and codes Office Depot invoices for Customer Service Center. Maintain stock of basic office supplies in HR File Room and keep copier / printer stocked with paper (check throughout each day).

  • Report General Office Maintenance Needs

  • eTrain Registration

  • Mileage Tracking; Follow Up for Compliance

  • Place orders for Bereavement Arrangements for HR Team

  • Activities related to HR Team Birthdays and Anniversaries

EXPERIENCE / EDUCATION REQUIREMENTS

2+ years of experience in an office environment. Office switchboard experience and basic Excel skills. Demonstrated strong customer service skills; delivery of high level of customer service experience to callers, visitors and associates. Experience with Microsoft Office products, including Outlook. Demonstrated ability to maintain confidentiality of information; interact warmly, but appropriately, with associates especially at the front desk
