We're looking for a Lease Administrator to join the team in our Alpharetta headquarters. Our perfect candidate will thrive in a fun and casual environment, pay it forward daily, and add value to the company by managing our growing real estate portfolio of over 200+ company locations, including creating and maintaining all lease administration program standards

NOTE: We have a hybrid work schedule with three days in the office and two days working from home.

WHAT THIS ROLE DOES

  • Establishes and trains best practices for all lease administration critical functions, to include: abstraction, critical date monitoring, rent and operating expense management, auditing, documentation, and compliance.

  • Maintains standard operating practices for lease related documentation and abstraction of critical information including rent and other financial obligations.

  • Maintains a master tracking of lease obligations viewable from a centralized database.

  • Manages any commercial software applications related to core functions.

  • Reviews and audits obligations of rent, common area maintenance, insurance, taxes, and utilities monthly.

  • Manages key relationships to legal counsel and landlords for escalations as required.

  • Facilitates alignment between internal stakeholders to maintain the highest level of compliance related to our lease obligations: financial, operational, regulatory.

  • Prepares lease options documents for analysis by Finance Team.

  • Supervises and tracks the collection of tenant improvement funds, and processing of estoppel and subordination and non-disturbance agreement requests.

  • Facilitates contract renegotiations with landlords on existing leases.

  • Coordinates receipt/distribution of default letters, managing defaults with internal teammates through resolution.

  • Serves as the primary Company legal administrative contact for landlords, tenants, and property owner associations, and manages the preparation of any requested reports for the portfolio.

  • Manages review of all landlord triple net reconciliations for conformance to lease requirements. Implements and executes Common Area Maintenance, Tax and Insurance reconciliation and audit process.

YOUR TRACK RECORD

Bachelor's degree in Business, Accounting, Real Estate, Risk Management/Insurance or similar programs or equivalent work experience. At least 3 years' experience in retail or restaurant lease administration, along with experience using Lease Query (or comparable commercial real estate leasing software platform). Experience in Operational/CAM reconciliations, budget review and audit processes will also be important. Success in this role will require the ability to work independently while meeting deadlines and date-sensitive obligations, along with clear and effective communication skills and the ability to build strong relationships among internal and external contacts.
