Our perfect candidate will thrive in a fun and casual environment, pay it forward daily, and add value to the company by managing all franchise administration activities, from the Franchise Disclosure Document to coordinating with other departments on franchise processes, compliance and procedures. NOTE : We have a hybrid "return to office" schedule: currently working three days in the office/two days at home.
WHAT YOU'LL DO
Manage the process for new franchise agreements, transfers of ownership, renewals, terminations and ownership modifications while ensuring timely attention to contract requirements.
Assure that various compliance issues, such as leases, insurance requirements, and adherence to the contract, are properly monitored. Take action as appropriate to enforce compliance requirements.
Prepare and approve all franchisee correspondence, including default notices as necessary. Maintains library of templates.
Update the Franchise Disclosure Document (FDD) annually with review by General Counsel and the Franchise team, and files with applicable states.
Prepare Franchise Agreement Addendums for any Brand directives and Franchise community initiatives, and defines the process for completion.
Maintain and update the Franchise database system that retains franchisee, entity and contractual information. Provides information to the field, as needed, and performs reporting.
Collaborate with HBH departments, including Accounting, to guide them on Franchise procedures, communications, issue resolution and compliance to the Franchise Agreement.
Manage Franchise Administration staff who prepare contracts, work on franchise tasks and utilize the Franchise database.
Manage the trademark portfolio including trademark filings and infringement activities.
Provide clear and articulate communications to the Franchise community with regard to Brand updates and regular communications.
Document and update procedures relating to new contracts and compliance.
Act as liaison between the Franchise department and outside counsel.
Aid in the pre-qualification of franchisee prospects.
Stay informed and up-to-date on company policies and practices relating to Franchise Administration as well as industry updates.
Help educate staff and impacted departments on Franchise operations, standards, legal requirements and processes.
Assist with Franchise conference planning.
YOUR TRACK RECORD
Bachelor's degree or equivalent. 4+ years' experiene in franchise administration is required, as is Paralegal certification.
Exceptional organizational skills and attention to detail, especially with contracts and franchisee information. Clear, informative and accurate communication skills, both verbal and written. Continuous improvement mindset and ability to work autonomously, as well as excellent situational judgement. High degree of service orientation and a collaborative approach.
